<br /> The United States Army Medical Research and Materiel Command engaged IGS to plan
<br /> and execute the Department of Defense's premier scientific meeting, the Military Health
<br /> System Research Symposium (MHSRS), in 2014, 2015, and 2016. IGS created the branding,
<br /> developed and managed the registration and collection of registration fees for 2,600
<br /> attendees, and supported the overall execution of the symposium. Four IGS employees
<br /> worked on this project with minimal turnover. Here is a breakdown of the top services
<br /> provided:
<br /> 1. Site Arrangements:After being awarded the contract, IGS started searching for
<br /> potential meeting sites. The IGS team conducted site surveys, negotiated rates, and
<br /> conducted a price analysis for the Government's selection. IGS also identified
<br /> secondary hotel sites to serve as "overflow" if needed. Five business days after the
<br /> site surveys were completed, IGS provided the Contracting Officer's Representative
<br /> (COR)with an executive summary containing the total estimated costs, functionality,
<br /> location, and access to local transportation for each recommended venue.
<br /> 2. Program Development and Staging: IGS provided expert facilitation and
<br /> 0 administrative support of a multi-disciplinary military and civilian panel in the
<br /> development of the meeting program. IGS was tasked with setting up processes to
<br /> track breakout session and action items. The IGS team designed and produced
<br /> three program guides for each symposium: a 75-page booklet, a one-page "At a
<br /> Glance" guide, and individualized schedules. We also designed a seating chart for
<br /> distinguished attendees that was consistent with military and government protocols.
<br /> IGS planned and coordinated the logistics support for about 50 meetings held in
<br /> addition to the 126 breakout sessions. IGS ensured that there were refreshments
<br /> between the general and breakout sessions, including paying special attention to
<br /> food restrictions.
<br /> 3. Meeting Support: IGS took charge of all registration duties. During check-in, we
<br /> distributed meeting programs, materials, and name badges to pre-registered
<br /> attendees and exhibitors. IGS provided onsite registration for invited guests who
<br /> had not pre-registered and expedited registration and check-in services for
<br /> speakers, flag officers, and other distinguished guests. IGS gave daily updates of
<br /> attendees, vendors, and no-shows. IGS provided audiovisual support for general
<br /> sessions, simultaneous breakout sessions, and independent smaller meetings that
<br /> took place over the course of the symposium. The IGS team made sure each
<br /> meeting area was prepared with the required equipment and internet access. We
<br /> also planned for 150 exhibitors and qualified them all for government approval to
<br /> ensure the relevance of their products or services to the meeting. IGS performed a
