managed exhibitor pre-registration, check-in, and badging, and arranged for
security in the meeting and exhibit areas. IGS event staff arrived two days before N.
the conference and were available throughout the event, managing setup and
breakdown, staffing registration, and helping attendees, exhibitors, military, and
government staff as needed. We also organized meals and snack breaks, monitored
meetings, served as human arrows, and staffed the conference offices.
4. Media: For each symposium, IGS developed media conference call topics,
executed those calls with members of local and national media in coordination with
subject matter experts (SMEs) from the US Military, and then filtered material to
both the Fort Detrick Public Affairs Office and the Combat Casualty Care Research
Program (CCCRP) website. The latter garnered an average of 24,138 page views
per month in 2015. Eight other news outlets generated more than 28 original news
stories on the MHSRS proceedings as a direct result of IGS' media pitching efforts.
Those outlets included the Frederick News Post, the Pittsburgh Business Times, and
Cnet.com,which boasts more than 9 million unique visitors per day.
5. Post-Conference Tasks: Within 60 days after each symposium, IGS delivered a
detailed After Action Report to the Government in digital format. It included a final
III version of the staging guide, final attendee and exhibitor contact and no-show
information, electronic copies of all prepared correspondence, web daily download
and concurrent peak traffic counts, hotel room fill rates for each day, and a cost
summary. IGS attended a post-conference meeting to review the report and discuss
lessons learned and recommendations for improvement.
