Village of EsteroSunny Isles Beach RFQ 18-02-01 | Marine and Coastal Professional Engineering Consulting Services <br />PROJECT MANAGEMENT PLAN CGA’s general approach on design development and construction related projects are outlined below. Variations will occur depending on the requirements of a particular work order. <br />Project Scoping: Upon receiving notification of a potential project, CGA’s Project Manager will meet with The City’s Project Manager to determine the project scope, schedule, budget and other requirements of the project. The PM will brief the CGA project team and begin to conduct project scoping requirements. Due diligence will be performed before preparing a conceptual sketch or a letter of understanding for The City’s review and concurrence. <br />Work Authorization: Once the project scope and concept documents have been agreed upon, we will then prepare a work authorization document. This document will include a description of the project, to include but not limited to:• The scope of services to be performed;• Schedule of professional fees;• Labor matrix;• Critical path schedule;• Preliminary opinion of probable costs; and• List of key project team members with their roles and qualifications for working on that particular project <br />Project Commencement / Kick-off Meeting: All work orders will begin with a Project Kickoff Meeting, during which the CGA Project Manager will meet with the appropriate City staff. The project manager will then assemble the project team required for the task at hand. The tasks of the project will be outlined at the “Kick-off Meeting.” The team will be introduced to the scope, the budget and the timeline, and the leader will define the various elements of the project and the quality control/quality assurance requirements at this meeting. The contract manager will regularly review the status of the project to ensure that the CGA Team is meeting the project’s schedule and budgetary requirements as initially defined, and update the client of the project’s progress. <br />Fieldwork: For work orders involving the analysis of existing conditions, the design of proposed improvements, or management of ongoing work, CGA will perform a site field review. Depending on the nature of the work order, this may include observations of the site, traffic data collection, topographical survey, environmental assessment and/or a survey of existing <br />structures. In most instances, CGA’s familiarity with The City can expedite this process. <br />Utility Coordination: For any work order that involves design, review or project management of proposed improvements, CGA will coordinate with the various utility companies to determine the location of existing and future planned utilities. In certain projects, this will also entail coordination to complete a SUE investigation. This data will be included on any right-of-way and design survey and will be used throughout the design, review and project management process. <br />Stakeholder Input: Depending on the specific project, it may be desirable to engage and include stakeholder input early on in the process to obtain buy-in from those individuals most impacted by the project. Schematics, aerial images, and renderings allow for input on the plan to meet the needs and requests made by stakeholders. When requested, CGA can also utilize our interactive resident voting devices to obtain quick and effective input from residents. <br />Preparation of Preliminary Deliverables: CGA will prepare preliminary plans and technical memorandums. These documents and specifications may include the following items as needed:• Environmental analysis• Preliminary site plans• Preliminary planting plans• Preliminary building plans• Preliminary roadway and drainage design plans• Detailed drainage analysis• Pond site recommendation• Intersection lane analysis• Lighting justification report• Recommended typical cross section(s) for proposed roadway improvements• Layout of signalization improvements• Preliminary structural analysis and plansThese documents and specifications will be submitted to The City for review, comment and approval. <br />Preparation of Plans/Deliverables: CGA will meet with City representatives and receive comments on the preliminary submittals. Following the meeting, our team will prepare a written response to the design comments, make appropriate changes and continue to the 60% and 90% completion level. The 60% and 90% design documents will then be submitted to The City for review, comment and approval. <br />7
