<br />City of Sunny Isles Beach | ITB 18-03-03 Right-of-Ways and Facilities Landscape Maintenance Services 18 <br /> <br />2.2 PRE-BID CONFERENCE <br /> <br />A Mandatory Pre-Bid Conference is scheduled for the time and location shown in the Notice to <br />Bidder, Monday, April 9, 2018 at 11:30 AM. It is mandatory that all Bidders attend the pre- <br />bid conference. Failure to attend the mandatory pre-bid conference shall be cause for <br />disqualification. No claim of ignorance by the Bidder of conditions that exist, or that may hereinafter <br />exist as a result of failure to make the necessary examinations or investigations or failure to fulfill <br />in every detail the requirements of the cont ract documents, will be accepted as basis for varying <br />the requirements of the City of Sunny Isles Beach. Oral statements may not be relied upon and <br />will not be binding or legally effective. As such an addendum will be issued if any alterations are <br />made to the specifications contained herein. <br /> <br />2.3 TERM <br /> <br />This contract will commence upon execution by both parties which shall be the effective date <br />succeeding approval of the contract by the City Commission, or designee, unless otherwise <br />stipulated in the Notice of Award letter; and contingent upon the completion and submittal of all <br />required proposal documents. This contract shall remain in effect for fifteen months (15) <br />months; provided that the services rendered by the Bidder during the contract period are <br />satisfactory. <br /> <br />2.4 OPTIONS TO RENEW <br /> <br />Prior to, or upon completion of that initial term, the City shall have the option at its sole discretion <br />to renew this contract for an additional four (4) one (1) year renewal terms. Prior to completion <br />of each exercised contract term, the City may consider an adjustment to price based on changes <br />in the following pricing index: Consumer Price Index for Urban Wage Earners and Clerical Workers <br />(CPI-W): Miami-Fort Lauderdale, FL. <br /> <br />It is the Bidder’s responsibility to request any pricing adjustment under this provision, which shall <br />not exceed 5%. For any adjustment to commence on the first day of any exercised option period, <br />the Bidder’s request for adjustment shall be submitted no later than ninety (90) days prior to <br />expiration of the then current contract term. In no event will the price be increased or decreased <br />by a percentage greater than the percentage change reflected in the C.P.I. as published by the <br />U.S. Department of Labor. If no adjustment request is received from the Bidder, the City will <br />assume that the Bidder has agreed the optional term may be exercised without pricing adjustment. <br />Any adjustment request received after the commencement of a new option period may not be <br />considered. <br /> <br />The City reserves the right to negotiate lower pricing for the additional term(s) based on market <br />research information or other factors that influence price. The City reserves the right to apply any <br />reduction in pricing for the additional term(s) based on the downward movement of the applicable <br />index. <br /> <br />The City reserves the right to reject any price adjustments submitted by the Bidder and/or to not <br />exercise any otherwise available option period based on the proposed price adjustments.
