Smith & Associates, Inc. <br />Engineers • Surveyors • Subsurface Utility Engineering <br />3D Subsurface Imaging • Utility Coordination <br />PROJECT MANAGEMENT PLAN <br />Accessibility to City <br />All CAS and subconsultant staff assigned to this project will be available to attend scheduled <br />project update and progress meetings with city staff in person or as deemed necessary for <br />the successful completion of the project. CAS's goal is to make the city and its staff an <br />integral part of the team with open communications and coordination. CAS is a local south <br />Florida firm available for meetings preferably within a 24-hour request window but will be <br />available at all times. CAS's Project Manager, along with staff, will attend any requested <br />meetings, provide necessary documents (plans, reports, calculations, exhibits, etc.), and <br />answer any and all questions. CAS will help facilitate coordination among the CAS team. <br />CAS shall commit the necessary engineering staff fully to this project to ensure accessibility <br />and availability during the duration of the agreement. CAS will respond very quickly to any <br />phone or email correspondence from city staff. CAS & subconsultants can be seen in the <br />attached organizational chart. CAS has worked successfully with these subconsultants in <br />the past. <br />Project Monitoring & Budgeting <br />In order to get the most accurate budget price at the pre -construction phase and the <br />construction phase, CAS details all design items into many small parts that will add up to <br />one whole project (unit pricing, quantities and bill of materials). By doing this, our cost <br />estimates are very accurate. Our track record with cost estimates to bids has been within <br />5%-10%. CAS's philosophy utilizes a phased approach towards assisting the city in problem <br />solving and for implementation of public works and utility projects. Schedule, cost control and <br />team work - the CAS approach is to develop milestones and defined deliverables with the <br />city in order to meet the city's requirements. We try to identify potential issues early in the <br />project so necessary action can be taken to keep the project on schedule. We continually <br />update the cost of the project in order to stay on budget. If an issue develops with the <br />schedule, cost or the budget, we advise the city and develop a plan for corrective measures <br />with the staff. We consider the city and CAS as one team, all striving for the same goal - a <br />quality product on schedule and on budget. CAS technical reviews are conducted throughout <br />the project schedule by the principal members of our firm as part of our commitment to quality <br />engineering. <br />The service authorization process will begin with a negotiated scope of work between city <br />staff and CAS. The scope of services will clearly define the necessary tasks by either the <br />prime consultant (CAS) or the sub-consultant(s).
