City of Sunny Isles Beach |Request for Proposals No. 18‐11‐02 10 <br /> <br />Section 2 <br />Special Terms and Conditions <br /> <br />2.1 PURPOSE OF RFP: <br /> <br />The City of Sunny Isles Beach (the “City”) is requesting proposals for relocation and refurbishing <br />of the City’s bus shelters along Collins Avenue. Scope of Work will include removal and <br />refurbishing of existing shelters, construction of new slab foundations, resetting shelters, <br />modifying paver sidewalks, relocation of bus benches and trash receptacles and restoration of <br />original sites from qualified and licensed contractors (the “Contractor”). <br /> <br />2.2 NON-MANDATORY PRE-PROPOSAL CONFERENCE: <br /> <br />A Pre-proposal Conference for all potential Proposers is scheduled for 11:00 AM on <br />11/27/2018 at the First Floor Conference Room at the City of Sunny Isles Beach Government <br />Center located at 18070 Collins Avenue, Sunny Isles Beach, Florida 33160. <br /> <br />2.3 TERM <br /> <br />The initial contract term shall be for two (2) years. This contract will commence upon execution <br />by both parties which shall be the effective date succeeding approval of the contract by the City <br />Commission, or designee, unless otherwise stipulated in the Notice of Award letter. The contract <br />shall be contingent upon the completion and submittal of all required documents. This contract <br />shall remain in effect until the completion of services, provided that the services rendered by <br />Firm during the contract period are satisfactory and that City funding is available as appropriated <br />on an annual basis. However, in the event funding is not appropriated on an annual basis during <br />any particular year within the contract period, the contract may be canceled upon thirty (30) <br />days written notice to Firm. In such an event, the City shall only be responsible for the <br />reasonable value of services performed prior to the effective date of termination. <br /> <br />2.4 OPTIONS TO RENEW <br /> <br />Prior to, or upon completion, of that initial term, the City shall have the option to renew this <br />contract for three (3) one year renewals. <br /> <br />Prior to completion of each exercised contract term, the City may consider an adjustment to the <br />price based on changes in the following pricing index: Consumer Price Index for Urban Wage <br />Earners and Clerical Workers (CPI-W): Miami – Fort Lauderdale, FL, and shall not exceed three <br />percent (3%). It is the vendor’s responsibility to request any pricing adjustment under this <br />provision. For any adjustment to commence on the first day of any exercised option period, the <br />vendor’s request for adjustment should be submitted sixty (60) days prior to expiration of the <br />then current contract term. The vendor adjustment request should not be in excess of the <br />relevant pricing index change. If adjustment request is not received from the vendor, the City <br />will assume the vendor has agreed that the optional term may be exercised without pricing <br />adjustment. Any adjustment request received after the commencement of a new option period <br />may not be considered.
