TOSHIBA 6401 Nob Hill Road
Tamarac, FL 33321
Leading Innovation
We are sensitive to your specific challenges and will work closely with you to develop a comprehensive
communication plan that announces Toshiba as the new vendor, details our transition strategy and
schedules, and promotes the features and benefits of our products and services. Furthermore, we will be
available to help you manage the transition and user training to ensure it is a seamless and positive
experience.
Pre -site Planning /Utilization Assessment
Toshiba recommends an assessment of your existing fleet to measure its current state and provide
detailed recommendations for an optimized state. Beyond just specific hardware and software solutions,
we take a broad perspective to help you leverage your current assets as much as possible. Using our
proprietary Encompass discovery and analytical tool, we can identity weaknesses in your current
infrastructure and, more importantly, provide a blueprint and plan to create an optimized one.
Project Plan
First and foremost, we will conduct a thorough site inspection to truly plan space requirements and
network drops. If an Encompass Assessment is completed, we will use the resulting information as our
baseline.
Once the information is gathered, Toshiba and the customer will jointly develop a master implementation
schedule and preliminary location drawings
When developing the schedule, the Transition Team will ensure power and network connectivity, taking
into account any physical challenges (elevator size, hallway width, stairways, loading docks, etc.) that
may affect installation.
The drawings specifically detail each area, including which machine goes in which room, location in the
room and location of the network drop.
Once finalized, the implementation plan coordinates service teams to help identify machine setup
requirements and develop your training plans and materials. All work will be performed to ensure there is
little or no disruption to your flow of business.
Operational
It is during the operational phase when the planning, communication and system configuration come
together. Prior to installation, service technicians will perform on -site testing of each machine to verify
proper functionality and that devices meet customer needs and associated set -up criteria. We will
specifically take into account the clinical applications to ensure special printing requirements and security
concerns are addressed.
During this critical phase, technical and IT support personnel stand by, either on -site or via Toshiba's
hotline, to resolve any issues during the installation. After a Toshiba product has been installed and
tested, the customer will sign a Customer Acknowledgement Form verifying equipment was received and
is working properly.
Toshiba's Recommendations for The City of Coconut Creek's RFP far Managed Print Services, 12 -01 -10-10
Page 22 of 42
