<br /> <br />City of Sunny Isles Beach | Invitation to Bid No. 21-03-02 19 <br /> <br />3.5 ESCALATION PROCESS <br /> <br />Notwithstanding the City’s right to terminate Vendor’s services pursuant to Section 1.37 of the <br />General Terms and Conditions, the City may opt to address problems under the following process: <br /> <br />a) The City will contact the Vendor and explain the problem. The Vendor shall explain its position, <br />provide a course of action that is mutually acceptable, and shall remedy the problem within <br />twenty-four (24) hours of the notice. <br /> <br />b) If the problem has not been remedied or the City encounters the same problem again, the City <br />may, at is sole discretion, either work with the Vendor to come to a solution or use the <br />secondary Vendor. If a solution cannot be mutually agreed to, the City may cancel any <br />unfulfilled City authorized trips without any cancellation penalties, and fulfill its requirement <br />needs with the secondary Vendor. Should the primary Vendor remedy the problem to the <br />City’s satisfaction, the City may request future trip services. <br /> <br />3.6 RECORDS, REPORTS AND DOCUMENTS <br /> <br />In addition to the requirements of Section 1.43 of the General Terms and Conditions, the Vendor <br />shall maintain records for all services provided to the City which shall include property, personnel, <br />and financial records as are deemed necessary by the City to assure a proper accounting of funds. <br />Data items which the Vendor may be required to submit to the City includes, but is not limited to: <br /> <br /> <br />a) Vehicle trip origin and destination <br /> <br />b) Scheduled arrival and leave time <br /> <br />c) Actual arrival and leave time <br /> <br />d) Scheduled hours of service <br /> <br />e) Actual hours of service <br /> <br />f) Ridership per vehicle trip <br /> <br />g) Vehicle number <br /> <br />h) Driver’s name and Chauffeur Registration Number <br /> <br />3.7 BILLING TIME <br /> <br />3.7.1. All transportation services shall be paid for at an hourly rate, which hourly rate shall be <br />determined to commence at the scheduled pick-up time, through the time of drop-off. For purposes <br />of computing billing time, fractional parts of an hour may be rounded up to the nearest quarter <br />hour. The Vendor may not request or charge a minimum rental time, except as otherwise provided <br />for in Section 3.8 below.
