City of Sunny Isles Beach |Request for Proposal No. 21-06-01 10 • Business Plan for the entire Project, to include market research, financial (including all expenses and revenues) projections, marketing and sales plan, and estimates for utilities (which will be the responsibility of the City). The bidder will be responsible for the entirety of the Project from concept development to installation, maintenance, and finally breakdown, including, but not limited to, all necessary labor, materials, delivery and storage as needed for the construction and installation of all components of the Activation. The proposer will be in full accordance with the specifications, terms, and conditions contained in this Request for Proposals (RFP). Any exemptions to this scope of work shall be stipulated within the proposal. 2.2 PRE-PROPOSAL CONFERENCE A pre-proposal conference will be held on Tuesday, June 22, 2021 at 2:00 PM at Sunny Isles Beach Government Center 18070 Collins Avenue Sunny Isles Beach, FL 33160; 1st Floor Conference Room to discuss the special conditions and specifications included within this solicitation. Vendors are requested to bring this solicitation document to the conference, as additional copies may not be available. 2.3 TERM This contract will commence upon execution by both parties which shall be the effective date succeeding approval of the contract by the City Commission, or City Manager, unless otherwise stipulated in the Notice of Award letter. The contract shall be contingent upon the completion and submittal of all required documents. The initial contract term shall be for an initial one (1) year, provided that the services rendered by the Contractor during the contract period are satisfactory. Substantial completion of the installation shall be November 15, 2021, and every November 15th thereafter if the contract is renewed as provided for in Section 2.4. 2.4 OPTIONS TO RENEW The City, at its sole option, may renew the contract for four (4) one-year renewal terms. Exercising the option to renew is at the sole discretion of the City. The operating seasonal dates may change, upon City’s authorized renewals. 2.5 PRICE If the Proposer is awarded a contract under this solicitation, the prices proposed shall remain fixed and firm during the initial term of contract. No additional costs may be accepted, other than the costs stated on the attachment A, Compensation Proposal. Prices proposed shall be valid for at least 120 days from time of RFP opening unless otherwise extended and agreed upon by the City and proposer. Prices quoted shall be firm for the initial contract term. Upon contract renewal, the City may consider an adjustment to price based on changes in the following pricing index: Consumer Price Index for Urban Wage Earners and Clerical Workers (CPI-W): Miami-Fort Lauderdale, FL.
