I <br />City of Sunny Isles Beach — Recreation and Parks Master Plan <br />Scope of Work <br />05/05/2022 <br />c) Community Meetings: AECOM will lead two (2) in-person community meetings open to <br />the general public. <br />d) Virtual Open House Engagement: AECOM will design and prepare a Virtual Open <br />House for hosting virtual engagement for the Master Plan. AECOM will prepare a virtual <br />meeting room with aesthetics and layout to be unique to the City of Sunny Isles and the <br />information presented as part of the Master Plan engagement. The Virtual Open House <br />will be accessible from the project website. The Virtual Open House is anticipated to be <br />accessed from this page and be viewed on a computer or on a mobile device. After the <br />development of the Virtual Open House template, the City will have the opportunity to <br />review a "draft" open house with all the engagement materials integrated, as well as the <br />access portal from the project web site. The City will then provide one (1) consolidated <br />set of written comments for the Virtual Open House template. AECOM will address the <br />comments to finalize the Virtual Open House. <br />AECOM will coordinate with the City concerning ongoing outreach efforts to provide <br />information on the overall virtual engagement process, the functionality of the Virtual <br />Open House, and information on how to access the Virtual Open House. <br />To increase equitable participation in the virtual engagement process, information in the <br />virtual engagement materials, as well as the interface of the Virtual Open House, will be <br />made available in Spanish and Russian. The Open House will also be prepared to be <br />ADA compliant, with contact information available for those who need special/alternative <br />accommodations for participation. <br />AECOM will provide hosting for the Virtual Open House, accessed through the project <br />website. The Virtual Open House will be open for approximately 30 days. AECOM will <br />monitor the progress of engagement and questions/comments during the engagement <br />period. Any questions relating to the functionality of the Virtual Open House will be <br />addressed by AECOM staff directly. After each week of the engagement period, AECOM <br />will provide the City with an update on questions asked in the Open House. The City will <br />review these questions, and responses will be posted to the engagement platform in a <br />Frequently Asked Questions Format once during the midpoint of the process, and again <br />at the conclusion. <br />AECOM will consolidate the comments received through the Virtual Open House and <br />summarize findings to identify common themes relating to the included engagement <br />materials. Comments received will be documented and organized by topic and further <br />organized by neighborhood. A final post -engagement report will be provided with these <br />summarized data, metrics, and profiles of participants. <br />All interviews, focus groups, and community meetings are to occur over a consecutive, <br />one-week period to build public participation. For each public meeting, City staff will be <br />responsible for the arrangement of meeting logistics such as identification of <br />
