Page 87Request for Qualifications # 22-06-01 Continuing Services for Landscape Architectural Services CCNA <br />4.3 Project Approach <br />in-house engineering and environmental services assist <br />in strategically moving a project through permitting <br />processes. <br />Contract Administration / Bidding Assistance Phase: <br />The Miller Legg Team will assist the City in preparation <br />and clarification of questions related to bid documents <br />by incorporating technical and design documents with <br />standard City contract documents and conditions. <br />Technical addendum during the bidding process can also <br />be facilitated and prepared by the Miller Legg Team. As <br />needed, Miller Legg will assist the City during the bid <br />opening to tabulate the submitted bids, evaluate the <br />bids for the appropriate responsiveness and document <br />the rankings of the bidders. <br />Construction Observation Phase: Miller Legg will <br />assist the City in the observation and documentation <br />required during construction to ensure that the project <br />construction activities move forward as promptly <br />as possible, while minimizing coordination activities <br />between the City and contractor. This is facilitated by <br />Miller Legg’s Team assisting the contractor in interpreting <br />the design intent and construction documents. During <br />construction, Miller Legg concisely documents all <br />activities and key decisions or status changes that are <br />observed during these activities with field reports, which <br />are submitted to the City for review and documentation. <br />This documentation is critical to ensure that each project <br />meets schedules, and to avoid potential litigation/claims <br />issues. The Firm provides construction observation <br />services for all our projects and has experienced <br />professionals who specialize in construction inspection. <br />Miller Legg commits to the continuous availability of <br />resources required to design, permit and coordinate <br />the projects in accordance with the terms of this <br />Continuing Services for Landscape Architectural Services <br />THE MILLER LEGG TEAM HAS <br />SUBSTANTIAL EXPERIENCE IN <br />SUCCESSFULLY COMPLETING <br />SIMILAR PROJECTS ON AN <br />EXPEDITED SCHEDULE AND <br />WITHIN BUDGET. <br />contract and each project schedule. The members of our <br />professional Team will be made available on an on-going <br />and as-needed basis to contribute to the required tasks <br />and will devote the necessary time needed to complete <br />the project on time and within budget. <br />PROJECT PLANNING & SCHEDULING <br />As Miller Legg’s Project Manager, Brian Shore, RLA <br />will conduct project kick-off sessions with Team <br />members to discuss and review project objectives, <br />client’s expectations, scopes and deliverables, budgets, <br />schedules, constraints and limitations, background and <br />other available information and guidelines for internal <br />coordination, documentation and quality control/ <br />assurance procedures. Depending upon the length and <br />/ or complexity of the project, status meetings will be <br />held with the City’s Project Manager to review project <br />goals, milestones, and delivery dates. In addition, we <br />recommend a close-out meeting with City staff to review <br />our Team’s execution of the project to ensure consistent <br />performance or make adjustments to be applied to <br />future work, if needed. <br />For projects that require permits, we will proactively set <br />up a review meeting with the permitting agency(ies) prior <br />to their review cycle being completed to help address <br />unnecessary comment letters and / or get a jumpstart on <br />the response if any revisions may be necessary. <br />Our Project Managers use Plantrax and/or Microsoft <br />Project applications to prepare a detailed schedule of <br />each milestone completion. This schedule is developed <br />with input from every member of the Consultant and <br />Client Teams to ensure commitment to the schedule. <br />For each project effort, this timetable is completed upon <br />Notice to Proceed and is transmitted to the Client Project <br />Manager for review and acceptance. The process is <br />tracked and updated as necessary. The Project Manager <br />maintains and keeps all Team members on schedule. At <br />BUDGET & SCHEDULING
