Include <br />information regarding lead time necessary before the contracts can be implemented and include plan <br />details for educating and training City employees in the use of the bank’s systems.Proposershall <br />provide a timelinescheduleforfullimplementation,ofwhich,should be at no cost to theCity. <br />Banking ServicesImplementation Partnership <br />Our local, government solutions and treasury teams will develop an immediate partnership with the <br />Cityto create a customized roadmap outlining services, training, and identifying any obstacles or <br />impediments that may affect the implementation timeline. To accomplish this, we establish a clear <br />communication channel with weekly check-in calls to monitor progress, accountabilities and to <br />identify and address any issues needing to be resolved. We recognize that communication is the <br />cornerstone of a smooth transition process. Below is an overview of our implementation and <br />conversion process. <br />Synovus has a proven implementation strategy that is tailored for every customer. It all begins with <br />the assignment of a dedicated conversion team to handle the transition. This team will meet withthe <br />City’sdesignated team to set a “Go Live” date and proceed in the following manner: <br />Established responsibilities. <br />Review current Cityprocesses and procedures. <br />Set a timeline “checkpoint” for each portion of the process. <br />Product build – set up of online user profiles and limitations, templates, reports, etc. <br />Completion of documentation and contracts. <br />Weekly status update meetings. <br />Testing and training. <br />Final testing and troubleshooting. <br />Our project management standards allow the Cityto set the pace, remaining comfortable that its <br />needs are being met, while not overtaxing the available resources. It also allows us to provide <br />recommendations on how processes can be improved. <br />When we set objectives with you during our consultative meetings, many things rise to the surface <br />that quite honestly may not have been thought of during the procurement phase. An example of this <br />kind of discovery would be an unexpected need for a dual location for processing check deposits. <br />Through these consultative meetings we can identify special or unplanned needs, quickly recommend <br />a solution so not to impede the overall timing of the implementation. <br />We believe as you have conversations with our references that we have provided, you will hear first- <br />hand how our implementation strategy and project management practices are first rate and will <br />provide added benefit to your finance department. <br />Once “Go Live” has been achieved, our conversion team will continue to provide the City with support <br />on both a scheduled and “as needed” basis. <br />A sample Implementation Checklist (high-level plan that will be tailored off the services used with a <br />July 12, 2024Page 46 <br />City of Sunny Isles Beach RFP 24-06-01 <br />Banking Services - Synovus Bank Submission <br /> <br />
