Ability to Meet Desired Timelines and Deadlines <br />C.A.P. Engineering, Inc. (CAP) recognizes that adherence to established project schedules is critical to the successful <br />delivery of professional engineering services. For the City of Sunny Isles Beach, timely completion of assignments is <br />particularly important because engineering services are often directly connected to construction schedules, permitting <br />requirements, maintenance activities, public improvements, operational needs, and other City initiatives. CAP <br />understands that a technically sound project is only successful if the required services and deliverables are provided <br />when they are needed. <br />CAP has an established approach to project management that emphasizes early planning, clear accountability, <br />continuous schedule monitoring, proactive communication, and rapid response to potential delays. Our objective is to <br />establish realistic schedules at the beginning of each assignment and then actively manage the project to ensure that <br />milestones and final deliverables are achieved within the City's required timeframe. <br />Project-Specific Schedule Development <br />Upon receipt of a task order or Notice to Proceed, CAP's Project Manager will review the City's requested completion <br />date, scope of services, anticipated deliverables, project complexity, and any known schedule constraints. A project- <br />specific schedule will then be developed to establish the sequence of activities required to complete the assignment. <br />The schedule will identify key milestones, intermediate deliverables, technical activities, internal coordination <br />requirements, quality control reviews, Client review periods, and final submission dates. Where appropriate, CAP will <br />work backward from the City's required completion date to ensure that sufficient time is allocated for each activity <br />while maintaining appropriate time for internal review and quality control. <br />This process provides the project team with a clear understanding of what needs to be completed, who is responsible, <br />and when each activity must be completed. <br />Clear Assignment of Responsibility <br />CAP believes that schedule performance begins with clearly defined responsibilities. At the start of each assignment, <br />the Project Manager will identify the personnel responsible for individual tasks and establish expectations for <br />completion. Staff will be selected based on their technical qualifications, relevant experience, availability, and <br />familiarity with the type of work being performed. <br />The Project Manager will maintain overall responsibility for coordinating the project team and monitoring individual <br />work assignments. This centralized accountability allows CAP to quickly identify outstanding activities and address <br />issues before they affect subsequent tasks or the overall project schedule. <br />For assignments requiring multiple disciplines, CAP will coordinate the work of the applicable engineering <br />professionals to ensure that individual disciplines remain synchronized and that one delayed activity does not <br />unnecessarily impact the entire assignment. <br />RFQ No. 26-07-014.2 - Overall Project Organization <br />RFQ No. 26-07-01 <br />Q: How will CAP organize its project team, resources, responsibilities, and <br />coordination to successfully complete assignments for the City? <br />C.A.P.
