Work Plan and Approach to Meeting Established Deadlines <br />CAP understands that meeting established timelines and deadlines is a critical component of providing successful <br />professional engineering services to the City of Sunny Isles Beach. CAP recognizes that timely delivery is particularly <br />important for municipal projects, where engineering assignments may be dependent upon City priorities, permitting <br />requirements, public coordination, construction schedules, funding constraints, and other time-sensitive activities. Our <br />project management approach is structured to provide the City with predictable project delivery, clear accountability, <br />continuous communication, and proactive schedule management. From the initiation of each task order, CAP will <br />identify critical schedule requirements and potential constraints, allowing the team to establish realistic milestones and <br />take corrective action before issues have an opportunity to affect a required deliverable or project completion date. <br />For each assignment, CAP will develop a project-specific work plan and schedule based on the scope and complexity <br />of the services, required deliverables, anticipated permitting and agency coordination, stakeholder involvement, field <br />activities, design review requirements, and deadlines established by the City. The work plan will establish the <br />sequence and duration of activities necessary to successfully complete the assignment and will identify key <br />milestones, responsible personnel, internal quality-control reviews, City review periods, coordination requirements, <br />and final submission dates. The Project Manager will maintain responsibility for monitoring progress against the <br />established schedule and will coordinate resources to ensure that appropriate personnel are available when needed. <br />This structured approach provides the City with a clear path from project initiation through final delivery while allowing <br />CAP to efficiently manage multiple assignments or task orders that may be active simultaneously. <br />CAP will continuously monitor project progress and will maintain regular communication with the City's designated <br />Project Manager regarding schedule status, upcoming milestones, completed activities, and any potential delays or <br />constraints. Our team will proactively identify issues such as changes in scope, incomplete information, unforeseen <br />field conditions, permitting requirements, third-party coordination, utility conflicts, or review comments that could affect <br />the established schedule. When a potential schedule impact is identified, CAP will promptly evaluate the issue, <br />determine its effect on the critical path, and develop appropriate mitigation measures. Depending on the <br />circumstances, these measures may include reallocating staff, increasing coordination efforts, advancing activities that <br />can proceed concurrently, expediting internal reviews, or adjusting the sequence of work. Any issue requiring City <br />direction will be communicated promptly, together with recommended solutions and their potential impact on the <br />overall schedule. <br />CAP's commitment to schedule performance extends through final design, permitting, construction support, and <br />closeout activities, as applicable to each assignment. Deliverables will be subjected to appropriate internal quality- <br />control and technical reviews without compromising established submission dates. The Project Manager will remain <br />actively engaged throughout the assignment to ensure that responsibilities are clearly defined, commitments are <br />tracked, and outstanding items are addressed in a timely manner. Through disciplined planning, continuous <br />monitoring, proactive communication, and effective allocation of resources, CAP will work to ensure that the City of <br />Sunny Isles Beach receives accurate, complete, and high-quality deliverables in accordance with established <br />deadlines.
