Page 186CITY OF SUNNY ISLES BEACH • RFQ #26-07-01 • CONTINUING PROFESSIONAL <br />ARCHITECTURAL AND ENGINEERING CONSULTING SERVICES (CCNA) <br />TAB 4 | APPROACH/METHODOLOGY <br />Coordination with Other Disciplines: This Continuing Services contract calls for the use of subconsultants as needed. There will be task work order assignments that require collaboration with other consultants in other disciplines, such as traffic data collection. Coordination and communication with these other consultants will remain a priority from the beginning of each issued task work order through the delivery of the final product. We will host kick-off meetings, weekly team meetings, and project management meetings, and provide additional opportunities to resolve and discuss project issues. <br />Project Scoping and Fee: Upon receiving notification of a potential project, Corradino’s Project Manager will meet with the City’s Project Manager to determine the project scope, schedule, budget, and other project requirements. The proposed scope will be used to document the improvements to be included in the project and to identify elements that are outside its scope. Any necessary edits to the scope will be resolved expeditiously between Corradino and the City, and the scope will then be used to determine the required man-hours and staffing for the project. The scope will also be used to evaluate the current project schedule. The finalized man-hours, scope, and updated schedule will then be sent to the City’s Project Manager for review. Corradino understands the value of submitting the proposed fee estimates to the City promptly to allow ample review time before contract execution. This allows for the timely execution of the task. With the execution of the task work order proposal, we will immediately get to work. <br />Project Commencement/Kick-off Meeting: All task work orders will begin with a Project Kickoff Meeting, during which the Corradino Project Manager and Discipline Lead will meet with their own staff. The Project Manager will then assemble the project team required for the task at hand. The project’s tasks will be outlined at the “Kick-off Meeting.” The team will be introduced to the scope, <br />budget, and timeline, and the leader will define the project’s elements and quality control/quality assurance requirements at this meeting. The contract manager will regularly review the project’s status to ensure that Corradino is meeting the project’s schedule and budgetary requirements as initially defined and update the client on the project’s progress. <br />Fieldwork: For work orders involving the analysis of existing conditions, the design of proposed improvements, or the management of ongoing work, Corradino will perform a site field review. Depending on the nature of the work order, the field visit may include observations of the site, traffic data collection, drainage issues, ADA concerns, utilities, and other key items. This will help validate the scope of work, create a mutual understanding of the project, and secure concurrence on the scope of improvements. <br />Utility Coordination: For any work order that involves design, review, or project management of proposed improvements, Corradino will coordinate with the relevant utility companies to determine the locations of existing and planned utilities. In certain projects, this will also entail coordination with CTS Engineering, Inc. for Survey and SUE services. This data will be included in any right-of-way and design survey and used throughout the design, review, and project management processes.Stakeholder Input: Depending on the specific project, it may be desirable to engage stakeholders early in the process to obtain buy-in from those most impacted by the project. Schematics, aerial images, and renderings inform the plan to meet stakeholders’ needs and requests. When requested, Corradino can also use our interactive resident voting devices to gather quick, effective input from residents. <br />Preparation of Preliminary Deliverables: Corradino will prepare preliminary plans and technical memorandums. These documents and specifications may include the following items as needed: <br />• Preliminary site plans;• Preliminary roadway and drainage design plans; • Detailed drainage analysis;• Intersection lane analysis; • Recommended typical cross section(s) for proposed roadway improvements; and • Layout of signalization improvements. <br />These documents and specifications will be submitted to the City for review, comment, and approval. <br />Plans/Deliverables: Corradino will meet with City representatives and receive comments on the preliminary submittals. Following the meeting, our team will prepare a written response to the design comments,
