Coordination will not be postponed until the end of the design process. <br />The WAD project manager will establish a communication and coordination plan for each <br />task order that identifies: <br /> <br />Required meetings and participants <br />Submission milestones <br />Document-control procedures <br />Consultant responsibilities <br />Review and approval authorities <br />File-sharing and modeling standards <br />Decision deadlines <br />Issue-tracking procedures <br /> <br />Weekly or biweekly coordination meetings will be conducted as appropriate. Action items will <br />be documented with the responsible party and required completion date. WAD will use Revit <br />and other Building Information Modeling tools, when appropriate, to coordinate architectural <br />and engineering systems. BIM reviews will help identify conflicts involving structure, equip- <br />ment, ceiling space, utilities, mechanical systems, electrical systems, and other building com- <br />ponents before the documents are issued. <br /> <br />COST CONTROL <br /> <br />4.5 DESIGN-PHASE COST CONTROL <br /> <br />WAD will treat the City’s construction budget as a continuing design requirement. Cost con- <br />trol will begin during task-order initiation and continue through bidding and construction. <br /> <br />At the beginning of each assignment, WAD will work with the City to confirm: <br /> <br />Available construction funding <br />Included and excluded scope <br />Required allowances <br />Project contingencies <br />Escalation assumptions <br />Owner-direct costs <br />Permit and utility costs <br />Alternates or optional improvements <br />Required completion date <br /> <br />Cost estimates will be prepared or updated at the following milestones, as applicable: <br /> <br /> <br />Milestone Cost-Control Activity <br />Programming/Study Order-of-magnitude estimate and alternatives compari- <br />son <br />Schematic Design Conceptual estimate based on area, systems, and pre- <br />liminary quantities <br />Design Development Detailed estimate incorporating coordinated systems <br />and materials <br />61
