AECOM RFQ No. 15-04-01 <br />City of Sunny Isles Beach staff can attest to the <br />responsive service they’ve received from AECOM on <br />various projects over the past 15 years. The process <br />we use to handle the City’s projects include the <br />following steps: <br />Task 1: Project Initiation – Scoping Meeting <br />Upon notification to proceed, the Project Director <br />and the Project Manager along with the project team <br />will meet with the City staff to review the proposed <br />scope of work, project design objectives, schedule <br />and budget requirements, and any other special <br />requirements (such as grant funding conditions). <br />We will review available site and background data <br />received, as appropriate to the project, in advance of <br />the meeting, and will identify with staff any additional <br />information necessary for the project, including action <br />item assignments for acquiring such information.. <br />Working with staff, we will determine the preferred <br />methodology for any public input to the design process, <br />as well as confirm the City’s review requirements. <br />Following the Scoping Meeting, we prepare a draft <br />scope and project schedule for the City’s review. <br />We will meet and/or discuss, and make the changes <br />necessary to meet the City’s needs. We will conduct a <br />kick-off meeting with City staff to review and discuss <br />the project scope and schedule, data collection, <br />design process, review and approval process, <br />expectations for deliverables and/or other issues that <br />may affect the success of the project. <br /> Task 2: Program Confirmation & Concept Design <br />We will develop drawings and, as appropriate to the <br />project, other documents such as narrative description <br />that confirm the required elements of the project <br />design. These deliverables may include a Concept <br />Plan, Schematic Design, a statement of program and <br />adjacency diagrams, budget parameters and/or order <br />of magnitude cost estimates, and will serve as the <br />basis for subsequent design. As appropriate to the <br />project, these initial deliverables will be developed with <br />significant input and feedback from City staff, area <br />residents, or other stakeholders to the project. <br />Task 3: Schematic Design <br />At the initial design stage it will typically be <br />appropriate to secure initial review and approvals <br />from the City as well as from any boards or agencies <br />with a particular interest or role in the project. <br />The following materials will be prepared for a <br />comprehensive schematic design package: <br />• Site plan, including preliminary civil engineering <br />• Floor plans <br />• Elevations of building <br />• Building sections <br />• Engineering system concepts and descriptions <br />• Budget estimate of costs <br />• Update project schedule <br />Task 4/5: Final Design & Construction Documents <br />This task will typically include the traditional design <br />phases consistent with AIA standard documents <br />Materials to be included for a comprehensive design <br />development and construction document deliverable <br />will include the following: <br />• Site plan, including paving, grading, and drainage <br />• Floor plans, life-safety plans, reflected ceiling <br />plans <br />• Enlarged plans of critical areas Elevations / <br />sections of building <br />• Building details / room finish schedules <br />• Civil Drawings <br />• Landscape Drawings <br />• Structural drawings <br />• HVAC drawings <br />• Fire Protection Drawings <br />• Plumbing drawings <br />• Electrical / communications / <br />• security drawings <br />• Specifications <br />Permit review agencies will be identified and early as <br />well as interim reviews will be conducted to ensure <br />a minimum of design changes based on agency <br />requirements. <br />During this stage of the project, submittals for <br />City review, comment and approval will be made at <br />milestone intervals appropriate to the project. <br />Typically these include: <br />• Design Development <br />• 50% Construction Documents <br />• 90% Construction Documents <br />• 100% Construction Documents <br />Cost estimates and specifications will be developed <br />as appropriate for each submittal, and as necessary, <br />additional public input opportunities will be provided. <br />All submittals will be subject to AECOM’s rigorous QA/ <br />QC reviews which are conducted by senior level staff not <br />involved in the project production. Upon completion of <br />the construction documents to the City’s satisfaction, a <br />final “permit dry run” will be conducted, to address any <br />outstanding permit issues prior to bidding. <br />Section D 6
