AECOM RFQ No. 15-04-01 <br />Task 6: Bid / Negotiation Phase Services <br />During the bid process, we will assist the City with <br />Pre-Bid Conference, responses to bidder inquiries, <br />preparation of any Addenda, and review and <br />evaluation of bids received and bidder qualifications. <br />Task 7: Construction Observation <br />Construction phase services will commence upon <br />award of a contract for construction and will conclude <br />upon issuance of a certificate of Final Completion, <br />City acceptance of the project and signoff of <br />all necessary regulatory agencies. During the <br />construction phase, and as appropriate to the type <br />and scope of project, services provided will typically <br />include the following: <br />• Periodic on site observations of the progress <br />of the work, to help ensure that project <br />specifications, design intent and other <br />requirements are complied with regular progress <br />meetings with Contractor and City staff <br />• Review of Contractor’s Construction Schedule, <br />Schedule of Values, materials submittals, shop <br />drawings, pay applications and other submittals <br />• Review of tagged nursery stock or assistance <br />with tagging <br />• Review of field layouts prior to installation <br />• Review of installed materials for compliance with <br />requirements <br />• Inspection and punch list at Substantial <br />completion <br />• Inspection and certificate at Final Completion <br />• We recognize that in certain cases, the City <br />may opt to provide more of the construction <br />administration through in-house staff; or that <br />conversely, certain projects may require a <br />more extensive role on the part of the design <br />consultant. Finally, we will provide follow-up <br />after construction is completed, typically in <br />the form of follow-up inspections prior to the <br />expiration of warranties approximately one year <br />after completion of the project. Throughout the <br />design process, AECOM’s project manager and <br />team will provide the following services: <br />• Coordinate the project with the City of Sunny <br />Isles Beach, related permitting agencies, <br />adjacent landowners and other affected <br />organizations during the development of the <br />design. <br />• Perform general administration duties, including <br />coordination with sub-consultants; preparation <br />of invoices; scheduling; record keeping; and file <br />management. <br />• Attend and participate in meetings with the <br />above mentioned organizations. <br />• Oversee quality assurance and quality control <br />(QA/ QC) program. Each scheduled submittal of <br />plans to the Client and/or FDOT shall receive QA/ <br />QC. <br />• All work shall be performed in accordance with <br />the City’s/County’s Standards and Procedures for <br />plans and specifications. <br />• All work shall be performed in English units using <br />AutoCAD format. <br />Staffing Plan <br />The core team of professionals represented in the <br />AECOM Team is supported by a well-balanced staff of <br />architects, engineers, planners, and interior designers <br />from the firm’s office in Coral Gables. Our Team has <br />all the experience necessary to perform all required <br />tasks associated with the project. Due to the size of <br />our firm and the depth of our resources, we can readily <br />staff this project with the proper support personnel <br />in every discipline, as well as meet any anticipated <br />schedule for this project. <br />The AECOM Team uses an interdisciplinary team <br />approach, assigning key individuals to each project <br />from inception to completion. Not only does this <br />method ensure immediate and effective lines of <br />communication, it also enhances the continuity and <br />integration of the design effort, an issue which is <br />particularly important on projects with challenging <br />schedules. At the hub of our system is the Project <br />Manager, Nina Gladstone. Ms. Gladstone has been a <br />project manager with AECOM for over 17 years and <br />has worked closely to successfully deliver projects <br />to the City of Sunny Isles for the last 15 years. To <br />ensure continuity, Ms. Gladstone will be involved <br />throughout the entire process and will be responsible <br />for coordinating all of the team members. She will <br />also manage all budget and scheduling issues from <br />contract start to completion. Our team of individuals <br />has successfully completed several similar municipal <br />administration buildings together. <br />AECOM will provide a specific design team with <br />relevant experience responsible for leading the design <br />effort for our firm.
