Project Management Services <br />City of Sunny Isles Beach | Request for Qualifications No. 15-08-02 <br />September 23, 2015 <br />Page 48 <br />testing / inspection requirements, protection <br />of work obligations and similar items. This <br />meeting is held with the Subcontractor’s <br />supervision and management team that is <br />assigned to the project. <br />Step Three - Preparatory Meeting. This <br />is our formal pre-construction meeting <br />attended by the Subcontractor, design <br />representatives, owner representatives, <br />inspectors, material manufacturers and <br />Hensel Phelps to thoroughly review all <br />requirements related to the work, establish <br />all inspection protocols, and determine <br />the quality assurance measures that will <br />be taken to ensure that all work is properly <br />performed. This meeting is generally held <br />1-2 weeks prior to starting work and will also <br />determine the scope of the next step. <br />Step Four - Initial Inspection. This is part <br />2 of the Preparatory Meeting. It is the actual <br />verification that all topics were discussed <br />and agreed to in the Preparatory Meeting <br />are being adhered to. A representative <br />scope of work is actually installed and then <br />reviewed prior to progressing with additional <br />work so that all parties can agree that the <br />Subcontractor is demonstrating its ability to <br />meet the project requirements. <br />Step Five - Follow-Up Inspection. This <br />inspection is conducted after work has <br />progressed and is meant to ensure that <br />the Subcontractor is continuing to install <br />materials per the standards established <br />during the Initial Inspection. <br />Step Six - Final Inspection. The Final <br />Inspection, the last step in the Quality <br />Control Process, provides the owner the <br />opportunity to verify that the installed work <br />meets the requirements of the contract. This <br />occurs in the following three stages: Initial <br />Inspection, Pre-Final inspection, and Final <br />Inspection. <br />Hensel Phelps’ Warranty Management is <br />centralized at a the Hensel Phelps MEO <br />Technology Center which is a 24x7x365 <br />Call Center and web-enabled solution that <br />effectively and efficiently manages any <br />warranty issues. Facility staff and occupants <br />can call, email or use their personalized web <br />page to request assistance with facilities <br />related issues from the Facility Technical <br />Specialist(s) (FTS). The FTS will then <br />dispatch work order procedures to achieve <br />resolution to the issue. Users can receive <br />updates from the FTS or can view and <br />monitor each issue via the website. <br />The Hensel Phelps FTS’ receive calls, <br />emails, or web requests for facilities-related <br />issues from client/facility staff/occupants <br />and dispatch work order procedures to <br />the proper contractor or sub-contractor <br />for resolution. The FTS’ log and track <br />warranty issues and store all related service <br />information, operations and maintenance <br />manuals, onsite equipment information and <br />follow up during throughout the work order <br />process. <br />The client is able to monitor and follow each <br />issue through to completion. This approach <br />provides a single repository of archived <br />information relevant to each specific facility.
