Project Close-out , �d • apt <br /> Understanding of Project and Goals: <br /> Prior to starting any work our management and technical team will meet with the City staff to discuss <br /> the project and its goals. Understanding the project and its goals is key in keeping the project on track <br /> and minimizing changes due to the political or economic factors that municipalities often encounter. <br /> We realize that project modifications occur, but it is possible to minimize such changes when all parties <br /> involved agree to the goals. It is most useful to consider and incorporate public input. In many cases, <br /> ® public "wants° is the over-riding consideration and one that can create the most challenges. A charrette <br /> or public input forum is a useful design tool that is used to seek public or stakeholder input and <br /> establish desired goals. Once the project is understood and goals are clarified, the project can move <br /> forward. <br /> Project Partners, Funding and Schedules: <br /> Along with establishing the project goals, it is essential that all funding requirements are also met to <br /> satisfy financial obligations. Most critical is meeting the preset schedule of grant reporting and <br /> completion deadlines. DMC is experienced in assisting our clients with grant management, <br /> coordinating all work related reports, submitting timely invoicing, and compiling the supportive <br /> documents necessary for project close-out. During construction projects, we can ensure that Davis- <br /> Bacon Act and other funding requirements are met. Our experience has taught us that this is the most <br /> neglected aspect by municipal clients until it reaches a critical stage. We have thus learned to take, an <br /> active approach in assisting clients by offering to manage the preexisting grants that have been <br /> secured by the client as well as grants we have secured for our projects. <br /> Design and Permitting: • <br /> Once goals and schedules are established, DMC provides clients with detailed scopes of work to <br /> complete design and permitting that incorporates timelines and frequent reporting to maintain the <br /> project on track and within budget. We request existing reports, plans, and any relevant information the <br /> City may have related to the project to have a full understanding of the site features. We also utilize our <br /> Project Progress Report form to communicate project status, both design and budgetary. A sample of <br /> the report format is shown at the end of this report. We utilize a similar approach with our sub- <br /> consultants so that we can track their work and budget status as well. This is vital to keeping the <br /> project moving smoothly.
