The approach we utilize for a specific project and for a continuing service contract such as this is an <br /> ® integral part of our Design Quality Management Plan. We know that Total Quality Management is <br /> accomplished by implementation of a Design Quality Management Plan and the continuous improvement of <br /> ® activity processes, involving everyone in the organization in order to accomplish a high standard of quality in <br /> o the final product. SGM's management plan establishes the methodology to ensure that quality is the driving <br /> force in the phases of all operations of SGM and particularly on a continuing service contract as this one. <br /> Our end goal is to provide only high quality services to the City of Sunny Isles Beach, free of errors and <br /> 0 omissions, delivered on time and on budget. To achieve this, we have established a companywide <br /> ® methodology whereby the appropriate people make the correct decisions, based upon asking the right <br /> questions at the right time. Based on our understanding of the Scope of Services and past experience with similar <br /> O contracts we have developed a management plan for processing task orders. The steps in this approach are as <br /> follows: <br /> ® Project Kick-Off:The initial project activity will include a project kick-off meeting with the City of Sunny Isles Beach <br /> and project stakeholder agency representatives. <br /> 0 <br /> Define the Project: For these projects, the first step is to define each project and prepare a scope of services and <br /> Q fee proposal. SGM will then review the available information related to the project, visit the site, discuss the issues <br /> ® associated with the project with involved stakeholders or agencies, and identify the project issues, needs, and <br /> constraints. <br /> 0 <br /> ® Scope, Schedule, and Contract Documents: Based on our review of the available information, and an <br /> identification of the issues, needs and constraints, we will prepare a detailed written project approach or scope of <br /> ® services, and schedule. <br /> ® Once the scope and schedule have been reviewed and approved by the City of Sunny Isles Beach staff, Purchasing <br /> ® will prepare the work order for the project. This will be transmitted to SGM for signature and returned to Purchasing <br /> for signature. Once the Work Order is executed, the City will issue a written Notice to Proceed. In some cases, a <br /> ® kickoff meeting with key stakeholders may also be held. <br /> ® Data Collection:This process is to gather the available existing information such as existing construction plans (as- <br /> ® builts), right of way maps, utility location maps, wastewater flow data, topographic information, existing and future <br /> development information, engineering data (architectural, mechanical, electrical, utility lines) soils data, a listing of <br /> ® affected agencies and individuals, and other data as the specific project may dictate. For renovation and alteration <br /> projects, on-site will be conducted to verify the as-built documents and assess the existing systems and equipment. <br /> ® This engineering analysis will ultimately identify potential savings to the City, along with providing valuable input to <br /> the construction phasing plan. Communication with the Owner's engineering staff, maintenance staff and other <br /> long-time employees is critical during this data collection phase. SGM will contact members of the Owner's staff <br /> ® and/or hold project information meetings to obtain input. <br /> From these meetings/conversations, Owner preferences, expectations and goals are also identified and can be <br /> ® incorporated from the beginning stages of the project. This phase would conclude with a technical memorandum. <br /> ® This document would serve as the basis for design and identify the ultimate facilities to be designed and <br /> constructed. <br /> Design and Planning Services: SGM provides the following services: <br /> ® Environmental studies/ s and abatement design; research analysis; design for construction; alteration and repair of <br /> real property; program management; professional services; pre-design site- ; feasibility and concept studies; space <br /> ® planning and programming; design and design concepts/standards; value engineering; life cycle costing; and post <br /> ® design-shop drawing review. <br /> ® SGMA <br /> 0 ENGINEERING! 47 <br />
