Y; Andrews ® Technology Pricing Letter Novatime Web-Based System May 11, 2016 Ms. Jane Hines City of Sunny Isles Beach 18070 Collins Ave Sunny Isles Beach, FL 33160 Dear Ms. Hines: The following section details the costs associated with this project. Pricing reflects a turn-key solution including software licenses to track up to 300 employees (can be expanded), 60 managers (can be expanded), onsite installation, unlimited training, and 12 months of annual software maintenance (24/7 support and software updates). A bi-directional interface to Edmunds MCSJ is included with our response. Through the interface employees hours and accruals will be sent from Novatime to Edmunds MCSJ. Employee information such as Name, and ID Number will be sent electronically through the interface from Edmunds MCSJ into Novatime. The interface between Novatime and Edmunds MCSJ is 100% guaranteed. Notes: • We have provided the City with 2 options. A Customer Hosted order form and a Vendor Hosted order form. If Customer Hosted is selected the system will be installed on the City's servers and it will be the City's ® responsibility to maintain the server and back up the data. If the Vendor Hosted option is preferred, the system will be installed on Novatime's servers and we have the responsibly of maintaining the server & backing up data. • Employee Web Services is included for all employees. Employee Web Services allows employees to punch in/out from a PC, or a Smartphone. Employee Web Services can also allow an employee from a PC or Smartphone the ability to request time off electronically, view their schedule, view time record, & view status of sick/vacation days. • All punches via Smart Phone will be GPS tracked. If the vendor Hosted solution is selected we can also enable GEO Fencing. • At the request of the City no Time Clocks have been included with our response. • All travel will be at the expense of Andrews Technology. No travel will be billed to the City. This includes all expenses for Lodging and Meals. The implementation is a fixed cost. If more travel is needed then we anticipated, it will be done at the cost of Andrews Technology. • Andrews Technology is pleased to offer Unlimited Training with our response. All Training will be done onsite if desired by the City. Training is also available as remote web sessions if desired by the City. • Annual Maintenance is included. Annual Maintenance includes 24/7/365 software support, & all software updates. • The 3 Year Total Costs are included for both the Vendor Hosted and the Customer Hosted options so that the City may understand the long term costs of both solutions. • 100% of the Scope of Work for this Project will be completed by Andrews Technology.
