Due Diligence with Permitting Agencies <br />After defining the scope, CMA will research and confirm which permitting agencies will be involved in <br />reviewing the project and time frames for reviewing permit submittals. By engaging permitting agencies <br />early in the process, we often avoid unnecessary comments that may delay projects from moving forward. <br />At this time, we will also identify which sub-consultants are needed to complete the work. <br />3. Develop Project Schedule <br />Once we have a clear understanding of the permitting process, we will develop an initial schedule to review <br />with the City at the project Kick-off meeting. Our schedules are typically prepared in Microsoft Project. Our <br />detailed schedules build in time not only for the design process, but also time for our internal quality control <br />effort and time for the client to review and comment on our project deliverables. This way the city has a <br />clear understanding of the work effort involved in the project and can track and monitor our progress. We <br />will work with the City to develop milestone dates at the project’s inception that are mutually agreeable. <br />4. Kick-off Meeting <br />At the Kick-off meeting, we will meet with the city’s project manager, any key city staff, and sub-consultants <br />to review the project goals, schedule, and process. At the conclusion of the kick-off meeting, we will have <br />agreed upon the project deliverables, milestone dates, the project critical path, and the project goals. <br />Meeting minutes and an updated schedule memorializing the kick-off meeting will be distributed with 48 <br />hours of the meeting. <br />5. Schematic Design <br />The Schematic Design Phase includes the gathering of necessary base information needed to complete the <br />work. This includes boundary and topographic surveys, geotechnical reports, traffic reports, etc. We will <br />provide general site layouts of the overall site depicting the program elements that have been defined with <br />the city. This submittal may also include preliminary utility and stormwater layouts, conceptual grading, <br />landscape pallet and layout, preliminary site furnishings, and a preliminary opinion of probable cost. If <br />appropriate, we’ll include conceptual renderings of the projects to help communicate design intent. CMA <br />will submit the documents one week prior to meeting with The City of Sunny Isles to review the documents <br />and the City’s comments. Prior to the submittal of the documents, they will go through our internal Quality <br />Control process. We assign the QC to a professional that is not directly involved with the design of the <br />project to review the documents. This independent reviewer provides a fresh set of eyes to the document <br />which in our experience identifies more potential conflicts that may arise as the project moves forward. The <br />reviewer will be the same reviewer at each phased submittal. The purpose of meeting after submitting the <br />documents will be to get owner input in the development of the project, to update the project schedule as <br />appropriate, and make decisions regarding next steps in the project. <br />6. Design Development <br />The Design Development Phase will include the incorporation of owner comments from the Schematic <br />Design Phase and refinement of previously submitted documents. In addition, we will add all of the <br />construction details and notes for each of the represented disciplines. As before, the documents will go <br />through our QA/QC process and CMA will submit the documents one week prior to meeting with The City of <br />Sunny Isles to review the documents and the City’s comments. We will meet to review progress, to update <br />the project schedule as appropriate, and make decisions regarding next steps in the project. <br />7. Construction Documents <br />The Construction Phase will include the incorporation of owner comments from the Design Development <br />Phase and refinement of previously submitted documents. We will prepare the specifications package to <br />coincide with the construction documents. The documents will go through our QA/QC process and CMA <br />will submit the documents one week prior to meeting with the City to review the documents and the City’s
