<br />The School District of Lee County; Florida - RFP # 6211 <br />Document Imaging System <br /> <br />August 5, 2004 <br /> <br />The DIMS provides for automatic document naming conventions such as user name, date and time of <br />processing, a driven sequential number, and a specific document number or 10 (at the system or <br />database level). Electronic documents can be stored as text, imaged, and/or stored in their native <br />formats Electronic documents can easily be imaged in their entirety using LaserFiche 'SnapShot', files <br />are indexed based on the text file without OCR processing. Version control, discard changes, and <br />overwrite the file are options for electronic files in the DIMS (based on security profile). Files can be <br />imported in tYPical raster formats such as TIFF, JPG, BMP, GIF, PCX, CALS, and PICT <br /> <br />In LaserFlche, users are not reqUired to 'save' processed documents When documents are processed <br />(scanned or imported) the files are automatically saved to the database Files can be 'copied' to multiple <br />folders and subfolders, the copy or shortcut to the documents maintains the characteristics of the original <br />file (if the index values change on the onginal file, the same change is reflected in the copied versions). <br />Actually, the documents are not copied (recreate the TIFF object multiple times); a copy in LaserFlche IS <br />simply a shoncutto the original file, <br /> <br />By using the LaserFiche DIMS, documents can be scanned as hard copy, and saved or stored as TIFF <br />Group IV images. When importmg image files, raster or graphiC files such as pcx, bmp, jpg, and tiff files <br />can maintain the native format or be converted to TIFF Group IV when imported to the LaserFiche DIMS. <br />ElectroniC documents are saved or stored in native formats, maintain the Windows Icon and are organized <br />using the same methods <br /> <br />The DIMS can also Import and index common ASCII files, spool files. report files from PC, mid range, and <br />mainframe based computer systems. <br /> <br />The LaserFiche DIMS and proposed solution can manage any type of raster graphic file or electronic <br />Windows file Windows programs files can be stored in native formats or electronically imaged To open <br />native format electronic files, the resident program must be installed on the workstation. <br /> <br />Document IndexinQ: In LaserFiche, documents are indexed uSing templates or search fields. <br />Additionally, the text of documents can be indexed; the user can index text associated with an image <br />record or electronic document Using the DIMS Read/Wnte client, a user at their workstation can capture <br />and index documents in batch or document mode Files can be indexed with template fields and/or full <br />text indexed for word or phrase searches The DIMS index template supports up to 32 index fields, is <br />user defined, provides a true date field parameter for single date or date range searches, and can be <br />modified (based on security profile of the user) The DIMS supports multiple Index templates limited only <br />by server memory. <br /> <br />Template or Search Field Indexing - Files can be indexed with template fields (particular structures for <br />each record set, list of fields associated with the record set) The DIMS index template supports up to 32 <br />index fields.
