The School District of Lee County, Florida - RFP # 6211 Document Imaging System August 5, 2004 Workflow Suite: LaserFiche has enhanced the power and flexibility of its traditional imaging product lines with a new server-side architecture to provide workflow capabilities. The LaserFiche Workflow Suite combines the simplicity of client-initiated routing procedures with the reliability and power of server based processing. The resulting tools allow LaserFiche to automatically route, track and notify users of document activity and workflow progress The LaserFiche WorkFlow Suite Integrates with the existing environment through automation of eXisting work processes This will accomplish economiC and efficient re-englneenng of the existing technical and physical work enVIronment Manual work processes will be automated through electronic distribution of work files and notification of work events In order to Implement workflow, existing work processes will be evaluated; new work processes will be determined For example, Instead of manually distributing hard copy throughout the organization, records will be scanned into the DIMS and routed automatically through a structured work process Workflow GUllnterface: To create, maintain and review the workflow process, a graphical user interface is necessary to assist the Workflow Administrator. The backbone to the LaserFiche Workflow Suite is the System Configuration and Monitoring Tool The application provides the interface between the Workflow Administrator and the server,side plug-In ThiS tool is used to establish the graphical routing structures and frequencies necessary to Implement the workflow schemes essential for the affected departments Once system events have been created and Identified, the System Monitor will activate the server-side agents to perform the desired tasks The diligence of the System Monitor is selectable by the Workflow Administrator A range of monitoring frequencies, from batch mode to real time processing, could be selected The automation agent would then either move, copy or, if necessary, delete the appropriate documents based on the conditions of the Configuration Tool At any time, the Workflow Administrator can re-edit the Configuration Tool to modify the notification instructions, event conditions, or monitor frequency to best meet unique needs SDLC's DIMS administrator can easily setup and manage workflow processes using the intuitive GUllnterface Workflow IntelliQent Routinq: An essential component in any procedural workflow system is document automation. Rules based document workflow requires that information move through a hierarchical system with a minimal amount of outside Intervention. The LaserFlche Intelligent Routing Plug-m can automatically move, copy or delete files within the LaserFiche database based on a predetermined set of rules This capability would allow SOLe to setup structured work events and scheduled processes For example, an inVOice document can be scanned into the OtMS, and the image record could then be automatically routed through a designed approval work process to the specified approving authority Sequential and Parallel Routina: The Intelligent Routing Plug-in IS capable of completing multiple routing schemes using different folders and procedural formats R&S Integrated Products and Services, Inc.
