<br />The School District of Lee County, Florida - RFP # 6211 <br />Document Imaging System <br /> <br />"' August 5, 2004 <br /> <br />USing the Configuration GUI, the Workflow Administrator can select to have documents forwarded from <br />one location to another, or to have documents reside in multiple locations simultaneously. The Workflow <br />Administrator can establish a "check-In" and "check-out" system for establishing document distribution <br />without worrying about lost or misfiled documents. Using SOLe's computer network, and email system, <br />DIMS files could be routed systematically through designed and scheduled processes. <br /> <br />Advanced Audit Trail: This module increases the scope of the standard audit trail log by providing <br />around-the-clock monitoring of database access to all stored documents. This module will track all <br />system activities by the document, user, and/or function. User activities such as Create, Export, and <br />Delete are logged to an xml file for report processing. The Audit Trail module produces canned reports <br />based on the audited functions, e.g., all records deleted, scanning production. The log files can be also <br />be accessed using a product such as Crystal Reports to produce user-defined reports in custom formats. <br /> <br />To maintain complete system security and accountability, select client activities must be monitored and <br />logged. User initiated actions such as deleting, printing, faxing and emailing documents can be recorded <br />and reviewed through the APls included with the Advanced Audit Trail. In addition, the Workflow <br />Administrator can attach approval codes and user comment statements to monitored client activities. The <br />system audit module monitors all activities of all SOLC users and records. Extensive logging and <br />reporting IS provided based on SDLC's requirements <br /> <br />Audit Trail Viewer Module: The LaserFiche server audit log IS a vast collection of raw data that <br />enumerates every activity monitored by the server. The Audit Trail Viewer Module organizes and displays <br />the audit log into meaningful and useful report data The viewer module creates simple search selection <br />criteria to find the exact information necessary. Selectable reports can be generated that can display <br />document access and actiVity or template activity during a given time period or for a particular user <br /> <br />To further enhance Workflow Administrator capabilities, the Audit Trail Viewer can also perform system <br />activity calculations based on document status and user actiVity. SOLC's system administrators can view <br />reports from any computer workstation with Browser access to the computer network and the DIMS. <br /> <br />By uSing the tools within the LaserFiche Workflow SUIte, the System Administrator, Records Manager, or <br />appropriate manager will have a simple method of routing, tracking and monitoring document access and <br />workflow bottlenecks. Combining the workflow product suite with the scaleable power of the LaserFiche <br />DIMS gives a robust solution for anyone seeking department or Enterprise-wide workflow planning. <br /> <br />Workflow SMTP Notification: An indispensable component to wide scale document distribution IS <br />notification. The SMTP Notification Plug-in reliably informs the Workflow Administrator that established <br />routing procedures are maintained and on schedule.
