Laserfiche WebLink
The School District of Lee County, Florida - RFP # 6211
Document Imaging System

August 5, 2004

The manipulation function includes adding pages to another document (previously scanned or template
Indexed with no pages), rearranging pages, deletion of selected pages, moving pages between
documents, and page rotation The DIMS provides the following annotations: Sticky Notes, colored
highlighting (image and text), redaction (black and/or white), default and configured stamps (public and
private).

As proven at an eXisting R&S LaserFiche DIMS installation, when searching against a database with over
5,500,000 records, over 600 GB of images, and over 12 GB in database tables, a single record / single
Index search (multiple pages) can be accomplished in several seconds. The image for page one IS
viewed almost instantaneously; when page two is selected, the image IS viewed almost instantaneously,
etc

Depending on the size and amount of OCR'd and Indexed pages in the LaserFiche DIMS, a word or
phrase search can be nearly instantaneous, or take several seconds or more. When searching the Collier
County Clerk of the Court database, 245,000 occurrences of the word 'county' and associated text were
found In eight (8) seconds (context lines for the search hits were included). Search results are ultimately
dependant on network and database traffiC, size of the image page being viewed, and size of the record
database.

Internet/Intranet Access: The LaserFlche DIMS provides InterneUlntranet Read-Only access to system
records uSing the 'Weblink' module. Weblink is installed on a client web server and communicates With
the DIMS server Weblink provides query and viewing capabilities to DIMS records uSing standard
Internet browsers The Weblink module utilizes the same comprehensive search engine that is used to
locate, View, and pnnt documents in the LaserFiche DIMS Documents are presented in Weblink without
HTML coding, file conversion, plug-ins, or client software. Once image documents are presented in the
Web/ink Interface, files can be downloaded in PDF format, printed, or attached to email systems Webllnk
access is a true 'thin client' session Highlighting of image search 'hits' is also prOVided in Weblink

LaserFlche also provides full ReadlWrite Internet/Intranet access to the DIMS through the Web Access
mOdule Web Access proVides a true 'thin-client' that will complete all ReadlWrite functions except
scanning, and certain administrative functions. This allows authorized users to contribute to the contents
of the repository (add documents, move documents, change index cards, etc.) as well as participate in an
automated workflow process remotely

Volume Capacity: The volume capacity of the DIMS is governed by system hardware and the record
limit of Microsoft SOL Server. To date the largest R&S/LaserFlche installation and system is the Advance
Auto Parts and the Discount Auto Parts The Advance DIMS has over 750 GB and over 10,000,000
records At the Lee County Tax Collector's office, the database is over 500 GB and has over 5,000,000
records The Collier County Sheriffs Office DIMS has over 600 GB and over 6,500,000 records There is
not a discovered user limit to the LaserFiche DIMS

R&S Integrated Products and Services, Inc.

Page 79

.~
~
t
