<br />The School District of L~eCounty, Florida - RFP # 62'11 <br />Document Imaging System <br /> <br />August 5, 2004 <br /> <br />Processes and software were integrated to capture (and key from Image data) from the State of Florida <br />traffic accident report, short and long form with supplemental pages, traffiC and parking citations AnyDoc <br />Software's 'OCR for AnyDoc' IS used to automate indexing for inCident reports and traffiC citations through <br />data capture and 'key from Image' processes <br /> <br />Collier County Sheriff's Office <br /> <br />· Enterprise LaserFiche DIMS With multiple departmental databases, includes Human Resources <br />· 50 Read Write licenses, and 25 Read Only licenses <br />COR Publishing <br />· AnyOoc solution provides Integrated data capture from existing systems and hard copy forms <br />· Size of Database over 700 GB, Number of Images 4,000,000 image records <br /> <br />This project started with existing systems and work process analysis (1999) Project requirements were to <br />develop methods to replace the existing microfilm process for inCident Reports' <br /> <br />In the Central Records department, the prOject established a document Imaging and Indexing process for <br />hardcopy files and provides network access to the processed Incident Reports Documents are field hard <br />copy that record all reported inCidents that require wntten documentation In 2000-2001, system was <br />upgraded to support additional users, work processes, and departments, In Q4 2002 or 01 2003, the <br />LaserFlche system will be changed to LaserFiche United (supports MS SOL Server), <br /> <br />In 2000, R&S scanned over 800,000 pages of 'Offense/Incident Reports' dating from 1995-1999 Files <br />were processed to Indexed COR discs and uploaded to the CCSO LaserFiche NT imaging system In <br />2000, system was upgraded With additional user licenses to support other CCSO departments In 2002- <br />03, R&S will scan over 500,000 pages of Central Records hard copy In 2003, project will be changed to <br />LaserFiche United platform; new scanners Will be added for other departments <br /> <br />LaserFiche Imaging technologies are used by the Human Resources ciepartment for evaluation of <br />prospective Shenff employees, Employee candidate data are scanned and evaluated by different users <br />Involved in the hiring process Image data are scanned and managed by the LaserFiche imaging system <br />A workflow process was developed and utilized to move employee candidate data through 12 different <br />steps in the hiring process Departmental users view the data from several different locations Users can <br />graphically see the employee candidate status and received documents R&S EZFind integrates <br />LaserFlche With other Collier Sheriff 'Central Records' programs <br /> <br />The imaging process eliminated the manual transfer of candidate files from desk to desk, users can <br />readily see what additional steps or information may be requirea' tor the candidate to complete the hiring <br />process Users can eaSIly see why a potential candidate was not hired Hired candidates become <br />'Current Employees' and their file IS updated and maintained by the LaserFiche imaging users. <br /> <br />R&S Integrated Products and Services, Inc. <br /> <br />Page 19 <br /> <br />ij l"'>' <br />~ ~.1, <br />f- ~J' <br />
