The School District of Lee County, Florida - RFP # 6211
Document Imaging System

August 5, 2004

Another project captures data from time cards and uploads data to financial systems Additionally, system
captures data from deputy issued traffic citations and Incident reports (eforms) and updates an eXisting
Central Records data management system (WinGs). Next, data are imported to the LaserFlche
Document Imaging and Management System. Traffic citation data could then be passed to the Collier
County Clerk of the Circuit Court legacy system via a common network After which, the County Clerk of
the CirCUit Court Traffic department will not have to scan and image process these citations This
established process could eliminate the redundant keying of common citation record data between
departments AnyDoc Software's 'OCR for AnyDoc' is used to automate data capture and Indexing for
inCident reports and traffic citations through automated data capture and processes

Lee County Tax Collector

. Standard LaserFiche DIMS with multiple departmental databases, includes Human Resources
. 25 Read Write licenses, and 50 Read Only licenses
. Weblink for Intranet/Internet Access
. COR Publishing
. Integrated AnyDoc Software automated data capture from eXisting systems and hard copy forms
. Size of Database 500 GB, Number of Images over 5,000,0000 image records

Project staried with existing systems and work process analysis (late 1998) In 2000, system was
upgraded to support additional departments and scanners (user licenses were added). Additionally, work
processes and technologies were evaluated and updated to conform with current project requirements In
03 2002, the LaserFiche system was changed to the LaserFiche United (supporis MS SOL Server).
Before 1998, tax collector data were indexed, imaged, and managed by a Unlsys imaging and tax
accounting system, data were scanned, packaged, and accounted with a Single monolithic proprietary
device Historically, other tax collector data were image captured and managed with an IBM Visual Info
Imaging system Both systems were on OS/2 servers and jukeboxes. Project required R&S and Lee
County Tax IT to develop methods to strip Imaging and Index data from the two systems and move all
images and their Indexes to the LaserFiche NT imaging system Image data were moved to new NT
Image servers, disk arrays, and optical libraries or jukeboxes (process uses embedded R&S Document
Shuttle processes).

Information was converted to ODBC output with developed Integration processes and software This was
accomplished through R&S and Lee County Tax Collector IT personnel working to develop a solution with
systems evaluation, options analysIs, general 'brainstorming' with project prinCipals, and custom software
development.

Today, tax data is captured at public counters and in a production scanning depariment. Tax records
such as occupational licenses, vehicle and vessel registrations, business licenses, and property taxes are
Imaged and Indexed automatically,

R&S Integrated Products and Services, Inc.

Page 20

::';~

.-

~~
~~.~
~.
