<br />City to address a high volume of related project assignments and "fast-track" the projects no matter the size, Our <br />organization will enable our team to seamlessly act as an extension of staff to the City, As always, all project <br />assignments will implement our Project Management and Quality Assurance and Control Plans to ensure that all <br />deliverables are of the highest quality and exceed the City's expectations, <br /> <br />PROJECT MANAGEMENT PLAN <br /> <br />Throughout the last 29 years working on similar type projects, ADA has implemented a proven approach that <br />includes developing and implementing a Project Execution Plan (PEP) and Project Management Plan (PMP), <br />The PEP includes proven protocols for successfully preparing construction contract documents (design plans and <br />specifications) and obtaining the required permits to allow construction to start on schedule, The PMP addresses <br />team organization and responsibilities, communication protocols, management systems/procedures, schedule <br />and budget control procedures, document control protocols, and a quality assurance and control plan, in order to <br />assure that designs, analyses and project coordination are implemented to meet or exceed the City's standard <br />protocols and expectations. <br /> <br />The ADA Team is committed to meeting the schedule and budget requirements for this project. In order to meet <br />established deliverable dates, ADA will develop a detailed schedule for each assigned project in Primavera P3E <br />and incorporate the schedule as part of the project PMP, The schedule is developed after the scoping meeting by <br />the ADA Team Project Manager, task leaders and senior management in collaboration with the City's Project <br />Manager, <br /> <br />Each project schedule is based on task and milestone delivery dates anticipated for the project and will identify <br />the critical path issues and tasks that drive the final deliverable dates, To facilitate timely execution and progress <br />monitoring of each task, responsibility codes are added to identify members of the project team and/or City staff <br />with primary responsibility for timely completion of each task, The project schedule is incorporated into the <br />Integrated Schedule and Budget and Management (ISBM) graph, which is a key element of the PMP, The ISBM <br />is used to track budget and schedule progress on a single graph, Our Project Manager will be responsible for: <br /> <br />. Tracking the schedule throughout the project, <br />. Preparing bi-monthly or monthly progress reports, <br />. Updating the schedule as needed, and <br />. Taking appropriate corrective actions to maintain the defined deliverable and key project completion <br />dates. <br />. Monitoring Project Milestones <br /> <br />In order to meet funding constraints, the right balance must be achieved between the project scope and available <br />funding, There must also be a good definition and understanding of the scope of work coupled with accurate <br />budget estimating procedures, Once the scope of the work is adequately defined, budget estimates are prepared <br />and compared to the available funding budget <br /> <br />Each successful ADA project begins the same way: we listen intently to staff's expectations and goals for the <br />project so that we begin with the end product or result in mind, We then implement our proven project <br />management system to deliver the expected results as cost-effectively and timely as possible, We do this <br />consistently because we utilize efficient processes and comprehend the appropriate regulations required to <br />navigate through the myriad of agency approvals needed to execute any project <br /> <br />The following factors are critical to the success of each ADA assignment: <br /> <br />. Team Responsiveness <br />. Cost Effective Designs <br />. Meeting with City staff early and often <br />. Preparing documents and checking them before City receives them <br />. Constructability Review of Design <br />. Monitoring Schedule and Budget <br />. Regularly informing project stakeholders <br />.
