<br />. <br /> <br />Cost Control <br />RJ Behar understands the importance of cost to an overall program and the need for having a design being commensurate with the <br />available construction budget for this project. We are sensitive to the City's budgets <br /> <br />For cost control and management of budget (professional service fees), we also utilize a job cost accounting program that tracks all project <br />charges as they come. The name of the program is Deltek, customized specifically for Architectural/Engineering firms. Our cost <br />expenditures will be closely monitored with respect to the proposed project schedule, which will be based on the agreed contract <br />deliverable. <br />Document Control <br />Document control is very important as aspect of all projects. All administrative procedures and legal <br />protections require proper care of documentation. RJ Behar understands matching documentation <br />requirements with any size project. We use a straightforward system for prioritizing, routing and <br />maintaining the necessary project documentation. Besides memos and meeting minutes, there are <br />contract documents, plans, specifications, operations manuals, survey data and invoicing that will all need <br />to be routed to their proper locations within the City system. RJ Behar has worked with a number of <br />public agencies and municipalities since its inception and is adept at organizing project documentation <br />using the client's methods, procedures and formats. We are familiar with most document formats used in engineering documentation (i.e. <br />pdt's etc.) and will easily adapt to requirements of the City, early in the project. <br /> <br /> <br />Pro~ctCoordmailon <br />Coordination of a multi-member team requires regular attention. All matters related to the project will be coordinated with the City's project <br />manager. We will try to minimize the City's day-to-day involvement by keeping the project manager informed electronically (e-mail). Our <br />project manager will serve as our focal point of coordination and for providing timely responses and prompt follow up. He will be the link <br />with the project team. <br /> <br />Between R.J. Behar and the Citv of Sunnv Isles Beach - As previously discussed we will keep the City's project manager well <br />informed of all project issues at all times. Recognizing that City's project managers may be managing numerous projects at any given <br />time, we will try to accommodate his or her day-to-day involvement by either 1) obtaining needed information ourselves, 2) <br />maximizing electronic information transfer (e-mail), 3) conference calls, or 4) prompt meeting minutes. We will schedule progress <br />meetings as often as the City's project manager desires. A progress report will be provided on a monthly basis including required <br />action items and who is to follow up. The City's project manager is the voice for the City and therefore we will coordinate with him/her <br />prior to meeting with other entities. <br /> <br />. <br /> <br />Between R.J. Behar and 3rd Parties - RJ Behar will develop a distribution list for each involved outside or 3rd party (i.e. <br />developer, stakeholders). Meeting minutes will be prepared, identifying key project input and future action items. <br /> <br />Qualitv Assrance / Qualitv Control Proqram <br />RJ Behar will ensure the quality of its product. We strongly believe that we are <br />solely accountable for the delivered product. We have a documented quality <br />assurance program tailored for municipal projects. A synopsis of program is <br />outlined below. <br /> <br />. QC Personnel - an autonomous group of reviewers who are completely <br />independent from the design teams' staff. The personnel chosen are <br />highly experienced in the tasks they will be reviewing. Committing the <br />appropriate staffing to the project is the most important quality assurance <br />measure. Our project manager will lead the quality control team. <br /> <br />. QC Reviews - will be separated into two major areas: 1) city's criteria and <br />2) study/plans preparation and cross reference review. Each review is <br />important to overall project quality and decision-making. <br /> <br />. <br /> <br />. QC Process - will follow a process that starts with the 1) originator, 2) it is <br />sent to a checker, 3) it goes back to the originator who reviews comments <br />and determines which comments are to be implemented, 4) The originator <br /> <br />II R.J.Behar <br />.
