The Plan documents and describes the individual work tasks, <br />subconsultant assignments and identifies the sequence of activities associated with successfully <br />completing the work within the projects scope, schedule, budget and level of quality objectives. The Plan <br />will clearly identify work activities to be executed by URS, our subcontractors as well as the interrelated <br />coordination activities with the City. <br /> <br />Proiect Communication and Coordination <br /> <br />URS recognizes the need for and importance of frequent and open communication with City staff as well as <br />effective communication with the design team members. URS will utilize a communication protocol, <br />which utilizes the project manager as the primary point of contact for the project. All formal <br />contractual communication to the City would flow through this point of contact. Day-to-day contact on <br />technical matters however, may also Occur at the project technical lead levels between URS staff and <br />project design consultants already engaged by the City. <br /> <br />To facilitate communication and coordination with the City and design team members, frequent scheduled <br />meetings with Staff will be proposed to monitor and report on the status of the work and to coordinate other <br />issues such as management and scheduling critical to each task. Periodic meetings with senior URS <br />and City management will be requested to obtain feedback on overall URS performance as a client <br />satisfaction and wellness check. <br /> <br />URS fully understands, and appreciates the need to perform as a seamless extension of City staff in <br />representing and providing information to entities outside of the City. URS also recognizes that the City <br />staff and design consultants also has considerable knowledge, experience and capable professional <br />staff with valuable knowledge and background applicable to all City projects. URS views and <br />considers the City staff to represent a key and critical team member to the successful implementation <br />and completion of any particular project assignment. <br /> <br />It is important that the City staff be an active participant in the work implementation process with design <br />consultants. Our approach is to utilize a "technical outreach" philosophy with the City staff and <br />project design consultants by scheduling initial design review workshops, attending monthly meetings, <br />and subsequent periodic Deliverable Development Reviews at predetermined levels with City Staff. <br /> <br />5-3 I ?
