Summary report of citizen advisory committee reports. <br />I � <br />TASK 4— FIELD REVIEWS — RJ Behar will schedule a field review with the City's Staff, if necessary. These may <br />include the City's Project Managers and maintenance personnel. Discussions will be aimed at reviewing the <br />background of the project and any important issues, problems, or requirements. Other agencies, as deemed <br />appropriate, may be invited. The RJ Behar team will assess the scope of the proposed improvements. In <br />order to facilitate our team in the scope assessment, we will have a "Project Checklist" available at our field <br />review. We will prepare minutes of the field review in order to define our scope of work. In the event that the <br />City's representative is unavailable for the site meeting, RJ Behar will furnish photographs and videos of the <br />project to point out areas of concern, This task may also include a review of the permit agency requirements <br />and preliminary meeting to insure that the alternatives developed in subsequent phases are permissible. <br />Some of this information can either be mapped in AutoCad or GIS methods, both of which we have expertise <br />in. <br />TASK 5 — TRAFFIC DATA COLLECTION — RJ Behar has in -house capabilities for collecting all the necessary traffic <br />data, We have our own traffic counters that can produce; volume, speed, and vehicle classification studies. <br />We also own intersection turning movement collection devices and staff trained in its use. All the necessary <br />traffic data will be collected by RJ Behar's Staff, which will make it a more efficient and economical project <br />component. <br />OVERALL ORGANIZATION TO COMPLETING THE PROJECT <br />• BETWEEN RJ BEHAR AND THE CITY OF SUNNY ISLES BEACH — As previously discussed, we will keep the City's <br />Project Manager well- informed of all project issues at all times. Recognizing that City's Project Managers <br />may be managing numerous projects at any given time, therefore, we will try to accommodate his or her day - <br />to -day involvement by either 1) obtaining needed information ourselves, 2) maximizing electronic information <br />transfer (e- mail), 3) conference calls, or 4) prompt meeting minutes. We will schedule progress meetings as <br />often as the City's Project Manager desires. A progress report will be provided on a monthly basis including <br />required action items and who is to follow up. The City's Project Manager is the voice for the City and <br />therefore we will coordinate with him prior to meeting with other entities. <br />• BETWEEN RJ BEHAR AND SUBCONSULTANTS — Another important aspect of coordination is between RJ Behar <br />and its subconsultants, Again we will make use of electronic transfer of information in order to maintain close <br />communication ties throughout the project. It will be our sole responsibility to make sure that our sub- <br />consultants comply with their schedule and quality of their deliverable. A key to receiving quality work from <br />subconsultants is to keep them informed. As the Prime Consultant, we will scheduled work tasks to get the <br />required data to our subconsultants as soon as possible.
