Because the performance of most projects requires the efforts of more than one individual or team member may be working on a project simultaneously over an extended period of time, Sun -Tech Engineering (STE) adopts the team approach with the Project Manager directly responsible to the Client for the performance of the firm. The team approach offers a degree of continuity, awareness of the status of the project and a formal mechanism for the exchange of information and coordination among team members whether they be in- house, client representatives or outside consultants. The initial step for any project is the preparation of a preliminary performance schedule and project management strategy. The performance schedule will identify all required steps and milestones necessary to take the project from its current stage to completion. It allows the entire team to understand the overall scheduling strategy necessary to accomplish all the tasks in the correct sequence. In addition to the performance schedule, STE will implement the following project management tools: Setting up Project Guidelines At the beginning of any project, STE works with Client to prepare Guidelines which is distributed to the team. The Project Guidelines includes all Client requirements, all code requirements and design approvals the project must follow by City, State and Federal jurisdictions. Communication It is critical at the start of the project to establish proper protocol and follow a "Chain of Command" and point of contact for team members. Formats will be established for faxes, memos, phone conversations and e- mails. STE is proud of our ability to fast track or expedite projects. Effective project management and adherence to operational protocol ensure that projects are completed in the most efficient and expeditious manner. Management of personnel time, performance and productivity combined with the great technological advancements in electronic data management and transfer enable STE to expedite permitting and communication with other consultants or agencies. One of the most time effective methods we utilize is a secure web site with a FTP link for City staff and/or other consultants to download and upload documents for prompt review and comment. This process allows others to view, print, measure, and mark up and revise 2D and 3D drawings. Utilizing this technology significantly reduces time for review and approval, project coordination for other disciplines, and is also eco- friendly by creating a fully paperless review and approval process which eliminates /minimizes shipping costs. STE currently utilizes this procedure with the Miami Dade Water and Sewer Department as well as many sub - consultants. Team Directory The Team Directory includes the entire design team and their role or responsibility, municipal contacts and other participants that may be involved in the project.
