t. <br />Pre - Construction <br />Public Information Initiatives <br />Timeframe <br />• Develop a Public Information / Liaison Program and Initial Plan, also <br />known as also known as a Community Awareness Plan (CAP): <br />The PIO will conduct extensive research on the municipality and local <br />community throughout the project limits, review project plans and generate a <br />detailed outreach plan based on the potential impacts that were determined <br />during the initial project research. <br />Additional project details will be identified such as, adjacent <br />project /developments, key stakeholder contact information, special events <br />Approx. 1 to <br />calendar, past community outreach activities, mass transit impacts, traffic flow <br />3 months <br />3 mths <br />impacts, residential and commercial access, vehicular movement and <br />before start <br />pedestrian access, and solutions to these potential impacts to the community. <br />date <br />This plan will be used as a guide to notify and coordinate any required <br />meetings or outreach with the affected stakeholders prior to and throughout the <br />duration of the project. <br />Project personnel will also use this plan as a tool to foresee potential impacts, <br />therefore providing the PIO with advanced warning on any project activities <br />for immediate public /stakeholder notification. <br />• Produce written collaterals and project web site development: <br />Collaterals such as the project fact sheet, press releases, official letter and <br />routine construction alerts will all be drafted at least three weeks prior to the <br />construction start date and as deemed necessary throughout the project. These <br />materials will be used to distribute to the public and media via door -to -door <br />hand out, mass emails, mailers, community meetings and web sites while <br />Approx. 1 <br />construction is underway. <br />month prior <br />to start date <br />In addition, a project web site can be created and maintained by the PIO with <br />detailed project information, lane closures, anticipated work schedules, contact <br />information and additional pertinent details regarding the project. This web <br />site will be a resource for residents and stakeholders to obtain up -to -date <br />project information 24 hour / 7 days a week. <br />• Plan and Attend Pre - Construction Meeting: <br />The PIO along with the Construction team will plan and execute a community <br />Approx. 1 <br />Pre - Construction Kickoff Public meeting prior to the project commencing.
