City of Sunny Isles Beach Construction Management Services <br />For Gateway Park - RFQ No. 12 -06 -01 <br />• The URS Team will take meeting minutes at <br />each meeting and distribute them to all <br />attendees and designated City staff. <br />Design Review of Construction Documents <br />The CM will coordinate and facilitate periodic <br />design reviews of the construction documents. <br />The general focus of these reviews will be <br />based on the following: <br />• Completeness of the documents <br />• Review documents for constructability <br />• Discussions on proposed Value Engineering, <br />and alternate materials <br />The City's design /build team will be responsible <br />for tasks including the following: <br />• Compliance with all of their contract terms and <br />conditions <br />• Coordination of their work and deliverables to <br />the City <br />• Quality control of all work produced under the <br />contract with the City <br />• All engineering and designs produced <br />• Compliance with all applicable governing <br />codes and regulations <br />• All required permits <br />• Compliance to the project schedule and budget <br />Processing Requests for Information (RFI) <br />( The URS Team will assist the design /build team <br />with managing the RFI log and the status of RFI <br />resolution. This log will be transmitted (or made <br />available on the project web site) to the City. <br />Project Progress Meetings <br />The CM will meet with the design /build team to <br />i schedule a regular project progress meeting to <br />fall on a consistent day of the week. The <br />purpose of this meeting is to review the progress <br />in relation to the schedule, determine if there are <br />any issues impacting the progress of the work <br />j (schedule and budget) and review status on <br />Iresolving action items. <br />Project Reporting <br />J In consideration with the input from the City on <br />the preliminary evaluation of the project, our lead <br />CM will request that the design /build team <br />t <br />provide a monthly status report regarding the <br />project. We will review the information each <br />month and compare it to the master program <br />schedule for compliance to individual project <br />schedules and milestones. We will upload the <br />completed and accepted monthly status reports. <br />The URS Team will also prepare a monthly <br />project status report for the City contract <br />coordinator which will contain the following: <br />• Update of the master program schedule - this <br />will show the current status of each portion of <br />the project and any changes to the project <br />phase durations. <br />• A cost -to- budget report for each sub - project <br />identifying the current project budget, the costs <br />committed against that budget, and the <br />balance of funds remaining as well as <br />contingency fund usage and remaining balance <br />amounts. <br />• A monthly project cash flow forecast <br />spreadsheet which tracks and forecasts costs <br />over project duration for both design and <br />construction budget line items. <br />• Executive summary of the current schedule <br />analysis and financial analysis identifying <br />issues and recommended resolutions, as well <br />as the forecasted 'health' of the project. <br />• A one -page spreadsheet (monthly summary) of <br />the status of the project. <br />• The CM will facilitate a monthly status meeting <br />with designated City staff to present the <br />monthly status report and review progress and <br />suggested improvements for the success of the <br />Project. City staff comments will be addressed <br />and the CM will manage the follow -up <br />Section 4—APPROACH/METHODOLOGY 27 <br />
